This Privacy Notice (together with any other documents referred to herein) sets out the basis on which the personal data collected from you, or that you provide to Us, will be processed by Us in connection with our recruitment processes. We use JobDiva, an online application provided by JobDiva, Inc. and its subsidiaries, to assist with our recruitment process. We use JobDiva to process personal information as a data processor on our behalf. JobDiva is only entitled to process your personal data in accordance with our instructions.
Where you apply for a job opening posted by Us, these Privacy Notice provisions will apply to our processing of your personal information in addition to our other Privacy Notice which has been provided to you separately or is available on our Website.
Where you apply for a job opening via the application function on a job site or similar online service provider (“Partner”), you should note that the relevant Partner may retain your personal data and may also collect data from Us in respect of the progress of your application. Any use by the Partner of your data will be in accordance with the Partner’s Privacy Notice.
What Information We Collect
Directly from you: Name, contact info (address, phone, email), resume/CV (work history, education, skills), job preferences, availability, references, emergency contacts, pay expectations, demographic info (e.g., gender, veteran status for EEO compliance), and any uploaded documents (ID, certifications).
Sensitive info: If collected (e.g., SSN for background checks, disability for accommodations)—only with consent and as needed.
Automatically: IP address, browser type, device info, portal usage (pages visited, login times) via cookies/analytics.
From third parties: Referrals, background check providers, prior employers, public sources (e.g., LinkedIn), or recruiting partners.
Inferences: Profiles created from your data (e.g., skill matches for jobs)
How We Use Your Information
Match you to job opportunities and share with clients.
Communicate (emails, texts, calls) about applications, interviews, or placements.
Process applications, conduct background checks (with consent), verify eligibility to work.
Improve our portal/services (analytics, fraud prevention).
Comply with laws (e.g., EEO reporting, audits).
Marketing (e.g., job alerts)—with opt-in/out.

How We Share Your Information
With clients: Potential employers (your profile/resume for job matches).
Service providers: ATS/portal hosts, background check firms, IT vendors—bound by contracts for security.
Affiliates/subcontractors: For combined services.
Legal requirements: Government (e.g., audits, subpoenas), law enforcement.
Business transfers: Mergers/acquisitions.
No selling of PI (state clearly: "We do not sell your personal information").
Data Retention
Keep active profiles as long as your account is open or needed for ongoing opportunities (e.g., 2-3 years for future matches).
Inactive/deleted: 1-2 years for legal reasons (e.g., disputes, regulations like Conduct of Employment Agencies rules), then anonymize/delete.
You can request deletion anytime.
Security Measures
We use encryption, access controls, firewalls, regular audits, and employee training.
No system is 100% secure—report breaches to us immediately.
Third-party vendors must meet our standards.
